How to Split a Transaction in QuickBooks Online Easily 2026
By Impran M N
A single purchase — like a mixed office supply run — often belongs in more than one expense category. QuickBooks Online's split tool lets you break one bank line into several categorized rows without leaving the transaction screen, keeping your reports accurate down to the item level.
01Open your bank transactions
Go to Transactions, then Bank Transactions, and select the account holding the entry you want to split.
02Open the transaction row
Click the target row to expand the inline editing panel, switching from Match to Categorize if that's the default state shown.
03Click Split
Use the Split link next to the category selector to open the multi-row split view.
04Assign categories and amounts
Pick a category and amount for the first portion, then a second category for the remainder — QuickBooks will auto-calculate what's left.
05Verify the balance and save
Check that the Difference field reads zero, add a memo note for clarity, then click Split and Add to post the entry.
Frequently asked questions
How many categories can one transaction be split into?
You're not limited to two — you can keep adding rows as long as the amounts add up to the original transaction total.
What happens if my split amounts don't add up?
QuickBooks flags this with a nonzero Difference value at the bottom of the split screen, so you can't save until the math balances.
Can I split a transaction after it's already been categorized?
Yes, you can go back into a previously categorized entry and use the split option to break it apart further.
Does splitting affect how the transaction appears on my bank statement?
No, your bank statement is unaffected — the split only changes how the single line is recorded inside your QuickBooks ledger.
