How to Make a Portfolio on Google Docs

By Impran M N

Building a portfolio or any document you'll reuse repeatedly is much easier once you understand Google Docs' template workflow. Instead of copy-pasting old files, you can design a master layout with placeholder text, store it in Drive, and share a link that automatically prompts others to make their own copy. This guide walks through that setup.

01Build your master layout

Structure your base document with headings, sections, and placeholder text or smart chips marking where content should go.

02Set baseline sharing

Go to File > Share and confirm view-only access so the master file itself stays protected from accidental edits.

03Submit to your template gallery

From the Google Docs home screen, open the Template Gallery, select your organization's tab, and click 'Submit Template.'

04Select and categorize your file

Choose your master document from Drive, assign it an accurate category, and click 'Submit.'

05Force a copy with a URL trick

Alternatively, share a link with 'edit' replaced by 'copy' in the URL so anyone opening it is prompted to duplicate the file instead of editing the original.

FAQ

Frequently asked questions

Can I make a portfolio template without submitting it to a gallery?

Yes, using the '/copy' URL trick lets you share a forced-copy link without needing the Template Gallery at all.

Will edits by others affect my master file?

No, as long as you keep the master file's sharing permissions restricted or share the copy-forcing link instead.

Can I use smart chips as placeholders?

Yes, Google Docs' smart chips can mark data fields that are easy to spot and replace when someone copies the template.

Is the Template Gallery available on all Google accounts?

Personal accounts have access to a general gallery, while organization-specific submission may depend on your Workspace admin settings.
